At ACI Learning, we understand that unexpected situations may require students to reschedule their courses. To maintain fairness and uphold the quality of our programs, all reschedule requests must follow specific policies and approval processes.
Reschedule Overview
We strongly recommend avoiding rescheduling whenever possible. Reschedules are not guaranteed and depend on availability and approval. If needed, we will do our best to accommodate your request.
Reschedule Rules
- First-time students have priority seating; therefore, reschedule dates are subject to availability and are not guaranteed.
- Reschedule requests must be fully processed within 14 days of your last attended course session.
- Students are allowed a maximum of two reschedules.
- If you do not successfully complete your course and choose to reschedule, you must restart the entire course from the beginning.
Special Instructions for Students Using VA Education Benefits
Students utilizing education benefits administered by the U.S. Department of Veterans Affairs (VA) should carefully review the information below prior to requesting a reschedule or withdrawal.
Due to VA enrollment reporting requirements, ACI Learning is required to certify your enrollment to the VA based on your scheduled training dates. If you withdraw, drop, or reschedule your program after enrollment has been certified, ACI Learning is required to report the change in enrollment status to the VA.
A change in enrollment may result in an adjustment to your benefits. This adjustment may create a debt with the VA related to Housing Allowance (BAH) and/or other education benefit payments previously issued to you. Any debt determination is made solely by the VA in accordance with federal regulations.
ACI Learning does not determine VA debt amounts, does not control VA repayment requirements, and cannot prevent a debt from being created if enrollment changes are reported. Students are responsible for communicating directly with the VA regarding any resulting debt or repayment arrangements.
Before requesting a reschedule or withdrawal, VA-funded students are strongly encouraged to:
- Consider the potential financial impact of an enrollment change
- Contact the VA directly to understand how a change may affect their benefits
- Review all documentation carefully prior to submitting a request
If you are funded by the VA and wish to reschedule, you must complete any required VA-related documentation, potentially including a Leave of Absence form, before your request can be processed. Please monitor your email for required forms after submitting your request and contact us if you need assistance.
Reschedule Requirements
Before submitting your reschedule request, please ensure you have the following information:
- The last day you will attend your current program.
- The reason for rescheduling.
- Documentation, if applicable (required by some funding sources).
- Preferred new start dates and time of day (Morning, Afternoon, or Night).
Reschedule Procedures
- Submit your reschedule request using the ACI Learning support chat available in your learning portal.
- Include all the required information listed above.
- While your request is being reviewed, an ACI representative will provide suggested restart dates.
- Once dates are agreed upon, a Program Transfer document will be sent to you for signature, confirming your agreement to the reschedule.
- Rescheduling is not finalized until you sign the Program Transfer and receive official approval.
Important Notes
- Students must comply with all applicable policies and deadlines related to rescheduling.
- Reschedule requests without funding or counselor approval will not be processed. We recommend confirming all approvals by the Friday before your planned restart date.
- Reschedule restart dates beyond four months are generally not approved.
